The Real Cost of Guesswork

You know what you bought. Nobody can say where it went.

  • The Guesstimate Log

An operator fills up diesel in a rush and writes the number down later, from memory.

  • The Mid-Month Move

The excavator moves to another job on the 14th day. But at month end its fuel gets split between the two jobs on a best guess.

  • The Docket Chase

When it's time for month end, someone in the office chases dockets and texts to work out who pumped how much fuel and where. Then the accountant asks for the on-road split. Fuellox gives you ready ATO reports.

Introducing Fuellox

Fuel records that keep up with the job.

Fuellox replaces the manual notebooks, the random guesswork and the month-end chase.

Operators just scan the machine, fuel as normal, and get back to work. Every litre is logged automatically against the right machine, project and site.

It installs on the site tanks and service trucks you already run. It keeps recording every time you pump fuel even without any network. In month end your office gets clean, ATO reports from day one with all the numbers.

It's very simple to use, and we like simple. It's just what we need in the field.

How It Works

Operators fuel as normal. Fuellox handles the records.

  • An operator scanning a machine's QR tag with the Fuellox app 1. Scan Open the Fuellox app on any smartphone. Scan the QR code on the machine. It takes five seconds. Add an operator and pick the tanks they can pump fuel from. Every fill carries a name, so you know who took what and how much. A printed tag is the only hardware. Anyone on site can use it
  • An operator fuelling from a site tank 2. Pump Fuel exactly as normal. The pump reads the flow and the system records it as it goes. No scan, no fuel. The record makes itself. Nothing new to learn. They fuel as they always have. Fits what you own. Fuellox works with all tanks, cubes, service trucks.
  • The Fuellox dashboard showing fills by site and by month 3. Recorded Machine, litres, time, GPS location, project code and operator, all logged automatically. No connection, no problem. Syncs on next connection. It records itself. Better costing, no manual paperwork. Nothing to write up. The office stops chasing dockets.

Job Costing

Know what each job costs you in diesel.

Every litre lands against a project, a machine, a site and a tax class as it is pumped. So the numbers you cost jobs with, claim credits on and size the fleet by are the real ones, not a month-end reconstruction.

A Fuellox project report: fuel by project and cost centre
  • By Project

Allocate fuel costs to specific jobs automatically. Know exactly what each contract costs in diesel.

  • By Machine

Spot heavy users early. Know which excavator, dozer or grader is driving fuel spend.

  • By Site

Track consumption across every active project location from one dashboard.

  • By Tax Class

On road and off road use is recorded separately as it is pumped. Your accountant gets the split, not an estimate.

Fuel Security

Left on site all weekend. Every fill still has a name.

Bunded tanks sit on site over the weekend, and road jobs run kilometres from the nearest supervisor. It isn't always theft. It can be a fill nobody wrote down, or fuel put against the wrong job. When it is theft, a site tank is an easy place to start. With Fuellox every fill carries the operator's name and a place on the map, so Monday starts with the weekend's fills in front of you.

FAQ

Questions Civil Operators Ask

Can we track fuel across multiple projects at once?

Yes. It's one of the main reasons civil contractors choose Fuellox. Every litre is assigned to a project, cost centre or client, so you can see exactly what each contract is costing you in fuel, in real time.

How does Fuellox help with fuel tax credit claims?

Fuellox separates on-road and off-road usage automatically based on the asset. Each dispense is stamped with GPS location, machine type and tax category, so your accountant gets clean, defensible data instead of rough estimates.

We run fuel pods on utes and trailers, not a fixed tank. Can Fuellox track that?

Yes. Fuellox tracks the fuel through the pod and into the machine, not just what leaves the bowser. Bowser to pod, pod to excavator, dozer or grader, every hop is logged, so you know where the litre actually ended up, not just where it started.

What if we're out of mobile range on site?

You won't lose a single record. If there's no mobile service, the data queues on the phone and syncs automatically once the operator is back in range. It's also backed up on the Fuellox device itself. Built for remote and outer-suburban civil sites.

How hard is installation on a service truck or site tank?

Most civil operators use a local sparky for 240V setups or a mechanic for 12V trailer units. No specialist technicians, no SIM cards, no network cabling. Most installs are done in under an hour.

Does Fuellox cover fuel security, and hold up in Australian conditions?

Yes to both. The pump only releases for an approved operator and a scanned machine, and it pairs with anti-syphon fittings for security at both ends. It's also Australian made and AS/NZS certified, with more than 4000 operators using it already working through Australian heat, dust and remote reception gaps.

Will my crew actually use it?

Yes, because there's nothing new to learn. They scan the machine with the phone already in their pocket and pump, with no fob, no card, no PIN, and no login. That's the reason it sticks when logbooks and spreadsheets don't.

Do we need to get rid of our fleet or telematics system?

No. Those systems track the machine. Fuellox tracks the fuel going into it. Your fleet system can tell you where the excavator was. It can't tell you that 200 litres went into it twice in the same hour.
