Some of our customers
The Problem
The depot total is known. Per truck, it's a guess.
-
The Early Start
Drivers fuel before the office opens and fill in the sheet later, from memory.
-
The Month-End Reconciliation
Deliveries on one side, a stack of dockets on the other, and a gap between them that nobody can explain.
-
The Blended Number
The truck drinking more than its twin hides inside the fleet figure. Nobody sees it until someone goes looking.
Introducing Fuellox
Fuel cards cover the road. Fuellox covers the depot.
Fuellox is fleet fuel management for your own depot tank: a controller on the bowser you already run, an app on each driver's phone and a dashboard for you. On the early start, the driver scans the QR tag on the truck, fills up and heads off. The litres land against that truck and that driver, with the time and the place, and they're in the dashboard before the office opens.
The portal gives us absolutely everything we could possibly want.
How It Works
What happens at the bowser, from scan to record.
-
1. Scan The driver opens the Fuellox app and scans the QR tag on the truck. Every driver fuels under their own name Add a relief driver in the dashboard. They can fuel that day Switch them off when they finish, with nothing to hand back -
2. Pump The pump releases and the meter counts every litre as it goes. No scan, no fuel, whatever the hour The driver fuels the way they always have Diesel and DEF, on the Fleet plan -
3. Recorded Truck, driver, litres, time and location, with the odometer if you want it. In the dashboard as it happens, or on the next sync Nothing for the driver to write up No dockets for the office to chase
Fuel Visibility
Month-end numbers, already sorted.
Export the month's depot fills by truck, driver or depot, and check them against the delivery dockets. The same report goes to the office or your accountant.
-
By Truck
How much each truck takes from your tank. Add what went on its fuel card and you have the truck's total.
-
By Driver
Every fill has a name on it. When a number looks odd, you know who to ask.
-
By Depot
Two yards or ten, in one account and recorded the same way.
-
On-Road and Off-Road
Give the reefer unit its own QR tag and set it as off-road. Its fills are kept apart from the truck's, and your accountant works from the record.
Fuel Security
A locked pump for the depot. Anti-syphon for the trucks.
The locked pump looks after the depot tank. A truck parked out overnight needs its own protection. CCA Transport was losing diesel out of its trucks at night. They fitted Kockon anti-syphon units, from our partner, to the filler necks, and Colin at CCA says nothing's been taken since.
See it on the setup you actually run.
Only 30 minutes to talk through how you manage fuel across your operation. We'll show you how it works, the app and what configuration fits. If it doesn't make sense for you, we'll tell you.

What we did before was terrible — very manual, very time consuming. A pain in my butt.

We'd go to fuel up and the tanks were empty — but they were filled three weeks ago. It was just an honesty system.

Since we put them on, nothing's been taken. I am 100% happy with how they are going.

Very Happy
The system was installed and up and running in a day. Even put a Fuellox unit on our portable fuel truck for the farm. My 70-year-old father was the first to try it and managed without any explanation or help whatsoever. Reporting for fuel excise claims are now very simple and clear even thou we run off road and on road vehicles.

FAQ
Questions Fleet Operators Ask
Do we have to replace our telematics or fleet system?
No. Those systems track the vehicle. Fuellox tracks the fuel going into it from your own tanks, which telematics cannot see. The two run side by side, and the fuel tax credit export is built from every recorded litre.
We have several depots. Does that work?
Yes. Each tank or bowser gets its own unit, and they all report into the one account, so you can see each depot and the fleet as a whole from one dashboard.
How does it help with fuel tax credits?
On road and off road use is recorded separately at the pump, against the vehicle, as the fuel goes in. The claim is then built on records rather than on an apportionment someone has to defend later.
Do drivers need a fob or a card?
No. Each vehicle carries a QR tag, and the driver scans it with the app on their own phone. There is nothing to issue, lose or share between drivers.
Who installs it, and how long does it take?
Your own electrician can fit it, or a mechanic for a 12V unit. There are no specialist technicians, SIM cards or network cabling involved, and most installs are done in under an hour. The vehicles are tagged as they come through the yard.
