Fuel on Trust
Every Delivery Has a Docket. The Fills Don't.
-
The Honesty System
Everyone fills from the same tank and means to write it down. At harvest, at two in the morning, nobody does.
-
The Shed Whiteboard
Litres scrawled on a board or a notebook in the ute. Half of it is unreadable by the time anyone needs it.
-
The Quarterly Chase
Come BAS time, someone sits at the kitchen table with the fuel dockets and a notebook, working out the split and hoping it's right.
Introducing Fuellox
Fuel records that keep up with the season.
Fuellox replaces the honesty system with a record nobody has to remember to keep. Whoever is fuelling scans the machine, pumps as normal and gets back to work, and the litres land against that tractor, header or ute with the time and the operator. It fits the farm tanks you already have, runs on 12V and solar where there is no power at the stand, and keeps recording in paddocks with no reception.
We'd go to fuel up and the tanks were empty — but they were filled three weeks ago. It was just an honesty system.
How It Works
Operators fuel as normal. Fuellox handles the records.
-
1. Scan Open the Fuellox app on any smartphone. Scan the QR code on the machine. It takes five seconds. Add an operator and pick the tanks they can draw from Every fill carries a name, so you know who took what A printed tag is the only hardware. Anyone on site can use it -
2. Pump Fuel exactly as normal. The pump reads the flow and the system records it as it goes. No scan, no fuel. The record makes itself. Nothing new to learn. They fuel as they always have. Fits what you own. Tanks, cubes, service trucks. -
3. Recorded Machine, litres, time, GPS location, project code and operator, all logged automatically. No connection, no problem. Syncs on next connection. It records itself. Better costing, no paperwork. Nothing to write up. The office stops chasing dockets.
Fuel Visibility
You Cost the Fertiliser. Now Cost the Diesel.
Every litre lands against a machine, an enterprise and an operator as it is pumped. So cropping and livestock carry their own fuel, contractors are separated from your own plant, and the fuel tax credit split is recorded rather than estimated.
-
By Enterprise
Put fuel against cropping, livestock or the contracting side, so each one carries its own diesel.
-
By Machine
See what the header and each tractor drew, and compare them month on month.
-
By Operator
Family, staff and the spray contractor each fill under their own name, so contractor fuel is easy to charge back.
-
By Quarter
The quarter's fuel comes out split into on-road and off-road, for your bookkeeper or accountant to work from.
Fuel Theft
A farm tank is the easiest fuel in the district.
Farm tanks sit a long way from the house, often unlocked, often gravity fed, and everyone who works on the place knows where they are. It is rarely one big event, and it is rarely about someone being dishonest. A ute gets topped up, a contractor fills from the wrong tank, a tank that was full three weeks ago is suddenly empty, and nobody can say where it went. With Fuellox the pump does not run until the operator and the machine are identified, so every litre has a name against it.

FAQ
Questions Farmers Ask
Our farm tanks have no power. Can they still be metered?
Yes, and it is a common setup. A 12V pump and a meter go on the outlet, the Fuellox Portable does the recording, and a solar panel with a marine cycle battery keeps it running without a mains run out to the tank.
Will it hold up to a full summer out in the paddock?
Yes. There are hundreds of Fuellox units out in Australian paddocks getting a beating from sun, dust and rain, and they hold up. It's built for farm conditions, not a shed.
There is no phone reception in half our paddocks. Does it still work?
Yes. The fill queues on the operator's phone and syncs automatically once they are back in range, and it is backed up on the Fuellox unit itself. Nobody has to wait for reception to fuel a machine.
We get a flood of casual staff at harvest. Can they all just use it?
Yes. Anyone can scan and fuel from their own phone, family, staff or a backpacker on their first day. No fobs to hand out or chase down when harvest ends and the crew moves on.
What about contractors filling up during harvest?
Tag their machines the same way as your own. Contractor fills show separately in the reporting, which makes them easy to recover or exclude.
Will this give us proper records for fuel tax credits?
That is usually the reason a farm puts it in. Every fill is logged against a machine with the litres, time and location, so on road and off road use is separated on the record as it happens rather than estimated at year end.
Is our farm too small for this to be worth it?
Full hardware setup usually pays off past about 10,000 litres a year, mostly through cleaner fuel tax credit records. Under that, ask about Fuellox Logbook instead: a software-only option built for smaller operations, with no hardware to install. Book a chat and we'll tell you straight which one actually makes sense for your farm.
