Fuel on a Major Project

You know what the project bought. Not which package burned it.

  • The Subcontractor Blur

Your tanks serve your plant and the subcontractors' plant alike, and at month end nobody can separate the two.

  • The Multi-Site Scramble

Tanks spread along kilometres of corridor, each with its own sheet, each filled in differently, some not at all.

  • The Cost Code Guess

Fuel gets spread across packages by estimate, so the cost report is only as good as someone's memory of the month.

Infrastructure Fuel Management

Dockets Stop at the Tank. Fuellox Starts at the Pump.

The supplier's docket proves how much diesel came onto the project. Fuellox records where it goes from there. A controller on each pump only releases fuel when an approved operator scans a machine, and records every fill as it happens.

How It Works

One Subcontractor, From Mobilisation to Month End.

  • An operator scanning a machine's QR tag with the Fuellox app 1. Add them Add their operators in the dashboard and they download the Fuellox app. No fobs to hand out at the gate or chase back at demob.
  • An operator fuelling from a site tank 2. Scan and pump The operator scans the tag on the machine, picks the package and fuels as normal. No scan, no fuel.
  • The Fuellox dashboard showing fills by site and by month 3. Reported Each fill lands against their machine and the package, with the litres and the time. At month end, their fuel is a report of its own.

Project Reporting

Month End, Already Split by Package.

Pull the litres by package, by subcontractor or for the whole job, with each fill listed behind the total. Cost centres come with the Fleet and Enterprise plans, and Enterprise adds separate company accounts and a pivot report builder.

A Fuellox project report: fuel by project and cost centre
  • By Package

A package or cost code goes on every fill, so each package gets the litres it actually used.

  • By Subcontractor

Fills go against the machine, whoever holds the nozzle, so the recharge starts from a list of fills, not an estimate.

  • By Site

Compound tanks, cubes and service trucks along the corridor, all in one dashboard.

  • Fuel Tax Credits

Each machine is set as on-road or off-road, and every fill is recorded against it. Your accountant works from the record.

Fuel Security

Nobody at the Tank? It's on the Record.

On a corridor job the nearest supervisor can be kilometres from the tank, and on a long weekend the compound sits empty from Friday knock-off. The pump only opens for operators on the account, and each fill carries a name, a machine and a time. On Tuesday morning the weekend's fills are there to check. When a subcontractor's package finishes, take their operators off the account the same day.

FAQ

Questions Project Teams Ask

Subcontractors draw from our tanks. Can their fuel be separated?

Yes. Their machines carry their own tags, so every fill lands under the subcontractor it belongs to. Recovery becomes a report at month end rather than a negotiation.

Does it work underground or where there is no reception?

Yes. The fill queues on the operator's phone and syncs automatically once they are back in range, and it is backed up on the Fuellox unit itself. It was built for sites like that.

We run tanks across many sites. How is that managed?

Each tank gets its own unit and they all report into one account. You can look at a single site, a package, or the whole project from the same dashboard.

Will the records stand up to an audit?

Each fill carries the machine, the litres, the time, the GPS location, the project code and the operator, recorded at the pump rather than written up afterwards. That is a stronger trail than a docket book.

What happens when the project finishes?

The units come off the tanks and go onto the next job, and the machine tags and the account carry across with them.
